Artwork, Mockup & Design Approval Terms

These Artwork, Mockup & Design Approval Terms apply to custom inflatable products produced by AirStructure Co. that include customer-provided logos, sponsor marks, product artwork, brand colors, packaging graphics, event messages, QR codes, custom print layouts, or other visual design elements.

Because custom inflatable products are produced based on approved artwork and project specifications, customers are responsible for reviewing all design details before production. This includes spelling, logo placement, print layout, colors, sponsor order, product shape, visible graphics, and all information shown in the mockup or approval materials.

Important: Once artwork or mockup approval is provided, AirStructure Co. may begin production based on that approval. Changes after approval may require additional cost, delay the timeline, or may not be possible.

Artwork Files and Customer-Provided Design Materials

Customers should provide clear, accurate, and production-ready artwork whenever possible. The quality and completeness of submitted files can affect design accuracy, print clarity, mockup preparation, production timing, and final appearance.

Preferred Files

Vector Artwork Is Recommended

Vector logo files are preferred when available because they can scale more cleanly for large-format inflatable printing, sponsor walls, event arches, domes, booths, and product replicas.

File quality note: Low-resolution files, screenshots, compressed images, blurry logos, incorrect files, or incomplete artwork may reduce print quality or require additional design time.

Mockup Review and Approval Responsibility

A mockup is used to show the general design direction, layout, branding placement, product concept, and visual appearance of a custom inflatable product. Customers must review mockups carefully before approval.

Mockup Area Customer Should Review
Product name and written copy Spelling, grammar, capitalization, product names, slogans, hashtags, event titles, campaign names, disclaimers, and promotional text.
Logo placement Logo size, logo location, front-facing placement, sponsor order, brand hierarchy, visible sides, and overall branding balance.
Colors and print direction Brand color direction, background colors, contrast, visibility, printed sections, full-print areas, and color expectations.
QR codes, URLs and contact details Website URLs, QR code scannability, phone numbers, addresses, social handles, dates, venue names, and event information.
Product size and shape Approximate dimensions, product orientation, visual proportions, opening locations, display footprint, and general structure.
Event-use details Indoor or outdoor use, viewing direction, audience-facing side, installation footprint, venue restrictions, and expected traffic flow.
Approval responsibility: Customer approval of a mockup may be treated as confirmation that the customer has reviewed and accepted the visible design details, including artwork, placement, text, and general product direction.

What a Mockup Does and Does Not Represent

Mockups are helpful visual references, but they are not exact engineering drawings, exact color proofs, exact seam maps, or final inflated product guarantees. Custom inflatables are soft, flexible, three-dimensional products, and final appearance may vary from flat digital previews.

Mockups may show approximate product shape, branding direction, logo placement, color concept, print area, front view, side view, or general product layout.

Exact Final Production Details

Mockups may not show exact seams, zippers, blower ports, tie-down points, panel breaks, fabric folds, stitching, welding, reinforcement locations, or inflated surface behavior.

Mockup limitation: Production teams may adjust seam placement, panel layout, blower location, zipper location, reinforcement points, and technical construction details for safety, durability, airflow, and manufacturing feasibility.

Color Matching and Print Tolerance

Custom inflatable printing may involve different materials, print methods, ink behavior, lighting conditions, surface texture, and viewing distances. Exact color matching cannot always be guaranteed unless a specific written color-proof process is separately agreed.

Screen color vs printed color Printed colors may look different from computer screens, mobile devices, PDFs, or digital mockups. Screen brightness, calibration, RGB display, material surface, ink behavior, and print method affect color appearance.
Pantone or brand color references Pantone references may be used as a direction but may not be matched exactly on inflatable material. Inflatable fabrics, PVC, coatings, and print methods can produce different visual results from paper or digital references.
Previous print runs New production may vary from previous printed inflatables, samples, photos, or older materials. Material batch, printer calibration, ink, surface texture, and lighting may change from one project to another.
Curved or inflated surfaces Logos and colors may appear distorted, stretched, shaded, or different on curved inflatable shapes. Flat artwork is applied to three-dimensional, air-filled, flexible surfaces.
Outdoor and indoor lighting Colors may appear brighter, duller, darker, warmer, or cooler depending on the event environment. Sunlight, shade, rain, night lighting, expo lighting, and camera exposure affect how colors are perceived.
Color tolerance note: Reasonable color variation between mockups, screens, brand references, product photos, and final printed inflatables does not automatically qualify as a manufacturing defect.

Logo Placement, Print Layout and Inflated Surfaces

Custom inflatable products are not flat signs. Logos and artwork may be printed across curved surfaces, soft fabric, seams, panels, inflatable corners, arches, domes, tubes, or product-replica shapes. Customers should consider how the product will be viewed during the event.

Logos on curved or inflated areas may appear slightly stretched, angled, compressed, or different from the flat mockup view.

Seams and Panels

Construction May Affect Layout

Seams, panel breaks, stitching, welding, zippers, blower ports, and reinforcement points may appear near or through printed design areas when structurally necessary.

Viewing Direction

Confirm the Main Display Side

Customers should confirm which side is front-facing, audience-facing, sponsor-facing, camera-facing, entrance-facing, or field-facing before approval.

Placement note: AirStructure Co. may adjust artwork placement slightly during production to account for seams, curves, fabric tension, inflatable construction, and product stability.

Customer Approval, Revision Requests and Production Changes

Customers should submit revision requests before final approval. Once the customer approves artwork, mockups, specifications, invoice details, or production documents, AirStructure Co. may move the project into production.

Before production approval, customers may request revisions to artwork, logo placement, print direction, colors, text, design layout, product shape, or size if the production schedule allows.

Changes May Be Limited

After approval, requested changes may require additional cost, may delay production or delivery, or may not be possible depending on the production stage.

  • Shipping may already be scheduled
Revision note: Customers should not approve production until all stakeholders, sponsors, agencies, venues, teams, or brand departments have completed their review.

Customer Responsibility for Rights and Permissions

Customers are responsible for confirming that all artwork submitted to AirStructure Co. can legally be used for the intended custom inflatable product, campaign, event, or promotional purpose.

Logos & Trademarks

Permission Must Be Confirmed

Customers must confirm that they have permission to use all company logos, sponsor logos, team marks, school marks, trademarks, product names, and brand identifiers.

Images & Copyrights

Licensed Content Must Be Approved

Customers must confirm that they have rights to use photos, illustrations, character artwork, product packaging, mascot images, and other copyrighted materials.

Advertising Copy

Claims Must Be Verified

Customers are responsible for verifying promotional claims, regulated statements, contest language, disclaimers, QR codes, pricing messages, and campaign text.

Permission note: AirStructure Co. does not verify trademark ownership, copyright ownership, sponsor approval, agency approval, regulatory compliance, or legal permission for customer-submitted artwork.

Common Approval Mistakes to Check Before Production

Many artwork issues can be prevented by reviewing the mockup carefully before approval. Customers should double-check the following areas before giving final confirmation.

Spelling and grammar Misspelled product names, incorrect event names, wrong capitalization, missing punctuation, or outdated campaign wording.
Sponsor order Incorrect sponsor hierarchy, wrong logo size, missing sponsor, outdated partner logo, or incorrect placement.
Logo version Old logo, low-resolution file, wrong color version, incorrect background, missing clear space, or unapproved lockup.
Dates and locations Wrong event date, venue name, city, campaign year, website URL, social handle, QR code, or phone number.
Product orientation Artwork placed on the wrong side, incorrect front-facing direction, wrong entrance side, or camera-facing side not confirmed.
Scale and visibility Logo too small, text too thin, low contrast, crowded layout, or design difficult to read from event viewing distance.
Final check note: If an issue was visible or reviewable in the mockup and the customer approved it, corrections after production may require additional cost and may not be eligible for free replacement.
